Visiting someone
The documents stated below are only required from the person you're visiting if you the applicant is paying for your own trip
Invitation letter
An Informal invitation letter from the person who you’re visiting
Passport front page or valid resident permit
The passport copy from the person you’re visiting or If applicable, valid resident permit from the person you’re visiting
If your trip is being sponsored please proceed to the sponsorship section below for the required documents
Staying at a hotel:
Hotel reservation
You’ll have to get a Hotel Reservation done. This reservation will be done by one of our specialist on your behalf.
Business trip
If you’re travelling for business purpose and your trip will be sponsored you’ll need to provide the following document:
Invitation letter
The original invitation letter from the company in Estonia, Finland, Germany, Iceland or Italy stating the exact name of the person(s) being invited and must include the purpose of the trip and the intended length of stay. It must also be clearly stated who will cover the costs of flight, board and accommodation.
If your business trip is not sponsored by the Estonian, Finnish, German, Icelandic or Italian side, you will also need to present:
Confirmation letter
A confirmation from your local employer stating that all the costs are being covered by the company.
Bank Statement
Recent letter from the employer’s bank, stating exact figures and account balances from the previous three months.
Requirements: Employed person
Valid passport
The passport should have at least 6 months remaining. If not, renew your passport before applying.
Two (2) recent passport size photograph
Your photographs cannot be older than 6 months, preferbly if its a recent photo. Your photos should be passport-sized which is 35 mm x 45 mm (3.5 cm x 4.5 cm or 1.37 in x 1.77 in). Your photograph should also be in color. Black and white photographs are unacceptable.
Marriage certificate
This only applies to persons who are married.
Job letter
If you’re paying for the trip and are employed by a business or organization you’ll need a letter from your employer (Job letter) with approval for leave or mention that you’re travelling for job related reasons.
Payslip
If you’re paying for the trip and are employed by a business or organization you’ll need to submit payslips for the last three (3) months.
Last 3-months Bank Printout/ Transactional History
A bank printout is needed if you’re paying for the trip, this is a statement letter from your bank, stating exact figures and the account balance from the previous three(3) months. If someone is paying for your trip they need to provide an original bank statement.
Please note: even if someone is paying for your trip it is advisable to have your bank printout submitted as well.
Requirements: Registered business owner
Valid passport
The passport should have at least 6 months remaining. If not, renew your passport before applying.
Two (2) recent passport size photograph
Your photographs cannot be older than 6 months, preferably if its a recent photo. Your photos should be passport-sized which is 35 mm x 45 mm (3.5 cm x 4.5 cm or 1.37 in x 1.77 in). Your photograph should also be in color. Black and white photographs are unacceptable.
Marriage certificate
This only applies to persons who are married.
Business registration certificate
If you’re a self-employed person or a registered business owner you need to provide a business registration certificate and tax declaration.

Pension statement
Pension statement for the last 6 months.
Requirements: Student
Valid passport
The passport should have at least 6 months remaining. If not, renew your passport before applying.
Two (2) recent passport size photograph
Your photographs cannot be older than 6 months, preferably if its a recent photo. Your photos should be passport-sized which is 35 mm x 45 mm (3.5 cm x 4.5 cm or 1.37 in x 1.77 in). Your photograph should also be in color. Black and white photographs are unacceptable.
Status letter
Obtain a status letter from the school or university confirming your attendance and if you plan to travel outside of school holidays, the letter should show approved leave from the school.
Requirements: Minors (child)
Valid passport
The passport should have at least 6 months remaining. If not, renew your passport before applying.
Two (2) recent passport size photograph
Your photographs cannot be older than 6 months, preferably if its a recent photo. Your photos should be passport-sized which is 35 mm x 45 mm (3.5 cm x 4.5 cm or 1.37 in x 1.77 in). Your photograph should also be in color. Black and white photographs are unacceptable.
Birth certificate
Original and photocopy of birth certificate is needed.
Minors traveling with one parent or otherwise (friend/relative)
- A certified copy of the parent’s valid picture-ID.
- A certified Declaration of Consent signed by the non-accompanying parent as he/she appears on the birth certificate
- The declaration of consent of the non-accompanying parent must indicate that he/she gives full consent to the other parent to sign all documentation related to the visa application for the child (with all names mentioned) as well as for the child to travel during the dates indicated.
Sponsored trip
If your destination is Germany
The original + one photocopy of a Formal Obligation
The original + one photocopy of a Formal Obligation from the person inviting you to Germany. The Formal Obligation has to be obtained from the alien authority in the city of residence of the host in Germany. If the host/sponsor resides outside of Germany, the Formal Obligation has to be obtained from the relevant German Embassy in that country (for details please contact the relevant Embassy directly).
Passport front page or resident permit for Germany
A copy of the person you’re visiting passport front page if the person is a citizen or a copy of a valid resident permit for Germany, if the person is a resident of Germany.
If your destination is to Estonia, Finland, Iceland and Italy:
Invitation letter or one photocopy of a Formal Obligation
The original signed invitation letter or, if applicable, the formal obligation of the person you’re visiting in the destination country.
Current bank statement
Current bank statement from the person you’re visiting.
Passport front page
A certified copy of the passport from the person you’re visiting.
Valid resident permit
If applicable, his/her valid resident permit in Estonia, Finland, Iceland or Italy.
Additional Information
Include originals and copies of all documents in your submission
The Embassy will evaluate the documentation and request additional documents where necessary. Please note that each applicant must have his/her own copies of each required document (even when travelling as a family or group).
All documents should be in english or spanish
If you have a document that is a language other than english or spanish then you can have a specialist translate the document before submitting them.
Processing time
Visa applications may be submitted within 180 days of arrival date in the Schengen Zone, no earlier. The visa processing time is 10 days. This could be prolonged if additional information or an interview is required.
